PCBA quote file errors can distort a response when it uses the wrong assembly, variant, revision, quantity, workshare, sourcing split, firmware, test scope, or assumption. Common mechanisms include duplicate active files, missing supersession, undefined document precedence, stale cross-file relationships, silent replacements, restricted evidence omissions and a quotation linked to another index revision.
Distortion does not show whether the price is high or low; it shows that the response and buyer request no longer share a reproducible baseline. The effect may be a wrong fabrication scope, component quantity, programming task, fixture assumption, test operation or exclusion. Actual commercial impact must be determined by the authorised quotation reviewers.
The error record should connect the indexed object to the affected quote line, observed difference, consequence, owner, evidence needed and disposition. Some errors can be handled with a disclosed assumption. Others hold the affected lines or require a revised quotation. The RFQ file index guide defines the controlling baseline, while the closure checklist tests the evidence used to resolve each mismatch. Price reasonableness and supplier capability remain outside this review.
Compare the issued index with the returned response
start with the buyer’s frozen RFQ baseline identifier and the supplier’s quote identifier. Confirm that the response names the same project, assembly, configuration, quantity stage and index revision. If the supplier created its own manifest, compare it row by row with the issued index.
record every missing, added, replaced or reclassified object. An extra file may be a derived review artifact, a supplier assumption or an unapproved replacement. A missing file may be out of scope, inaccessible or accidentally omitted. Do not infer the reason.
Then compare assumptions and exclusions as controlled objects. A supplier may quote a subset of requested work or use provisional component, programming or test conditions. Link each difference to the affected line so it cannot disappear in a summary note.
preserve both indexes and the response. Do not edit the supplier’s return to match the buyer’s version. Create a reconciliation record that shows the difference and authorised disposition.
Stop quotes tied to the wrong assembly or configuration
a filename can look correct while the internal assembly, PCB revision, variant or effectivity belongs to another build. Check product and assembly identifiers from controlled objects, not the folder name. Link each BOM and placement set to the intended fabrication data and drawing.
Variant errors often affect DNP rules, regional options, connectors, displays, memory, radios or firmware. A common PCB does not mean two assemblies have the same population, sourcing or test scope. If the quote combines quantities across variants without authority, hold the affected lines.
Effectivity errors occur when a change applies after a prototype lot, purchase order, date or another buyer-defined boundary but the index does not record it. Do not invent a cutoff. Request an authorised configuration decision and identify which response revision it affects.
The public project review before quotation page gives context for later review. It cannot correct the quote baseline or identify the active configuration.
Parallel assemblies need one controlling identity; duplicate active records can make visually similar lots follow different quotation assumptions.

Detect Mixed Revisions in PCBA Quote File Errors
Compare internal revisions for fabrication data, drill information, drawings, placement, BOM, AVL, firmware, programming instructions, test procedures and fixtures. File-system timestamps can change during transfer and should not determine revision.
Duplicate active rows are a warning even when the file contents differ only slightly. Two BOMs, placement exports or drawings may be valid for different variants or stages. Record their intended scope and hold use until an authorised owner confirms which one controls the response.
Use a checksum when byte-level identity matters, but interpret it narrowly. Different hashes show that files differ, not which one is correct. Matching hashes show the same digital object, not correct configuration or technical approval.
If a reviewer created a converted or merged file, index it as derived. Preserve source, conversion method and purpose. A convenient viewer output should not silently replace the buyer’s source in a quotation baseline.
Restore missing supersession and precedence
Meanwhile, a supersession error occurs when a new object enters the archive without identifying the object it replaces. The supplier may continue pricing from the old row, or different reviewers may use different versions. Record old and new identifiers, reason, authority, issue time, effectivity and affected quote lines.
Similarly, a precedence error occurs when two controlled sources contain overlapping instructions. A fabrication drawing may carry material or finish notes. An assembly drawing may carry polarity or option notes. A BOM and AVL may contain alternate constraints. The index should state which source controls or route the conflict to the designated authority.
Do not delete superseded rows. Preserve them with status and replacement link so earlier quotations can be reconstructed. A clean-looking current folder is not enough if the commercial history loses its evidence.
Ucamco’s Gerber resources and IPC’s IPC-2581 descriptions help identify format objects and structured manufacturing information. They do not prove that an indexed file is current or that one object controls another.
AOI may expose a placement problem, but reviewers must reconcile the BOM, centroid and assembly drawing before assigning the cause.
Reconcile BOM, placement and drawing relationships
Check reference designators, quantities, DNP rules, sides, coordinates, package context, polarity and option rules across the active BOM, placement data and assembly drawing. The purpose is to identify which quote assumptions rely on inconsistent relationships, not to approve the design.
A missing designator can mean a DNP rule, variant difference, obsolete export or data error. Record the observed objects and request an authorised answer. Do not add or delete a BOM line to make the files match.
Component alternate files should be classified as candidate, reviewed or approved. A supplier suggestion or market-research sheet should not appear as an active AVL. If the quote uses the candidate, make the assumption visible and identify the buyer authority needed.
The components management page does not prove stock, authenticity, alternate approval or BOM correctness for the response.
Find quantity and workshare changes hidden outside the index
Compare quantity by configuration and stage between the issued RFQ, index and supplier response. Prototype, validation, pilot and production quantities can change panel, sourcing, setup, programming, test and documentation assumptions. A total quantity without variant mapping can distort component demand.
Then compare workshare line by line. Check fabrication, procurement, consigned material, assembly, programming, inspection, functional test, fixture development, documentation and change support. An email or meeting note that changes one responsibility should enter the controlled baseline before the response is treated as comparable.
Record buyer-supplied, supplier-sourced and mixed material. If the response assumes supplier procurement while the index says consigned, or vice versa, identify affected material, receiving, shortage and disposition lines.
The public PCB assembly services page cannot establish project quantity, workshare, price, capacity or schedule.
Expose firmware, programming and test-scope disconnects
Check whether the firmware image, hardware revision, target device, programming instruction and verification output describe the same configuration. A file present in the archive may still lack release authority or permitted access.
Compare test method, input conditions, limits, fixture revision, interfaces, expected result record and failure disposition. “Functional test included” can hide whether the supplier assumes an existing buyer procedure or new development work.
Check buyer-owned fixtures and samples for controlled identity, availability evidence, interface and responsibility. A photograph does not prove compatibility. If the response assumes a usable fixture without sufficient evidence, keep the line conditional or held.
Separate programming verification from product acceptance. A checksum or readback may support one operation but does not establish test coverage. Quote lines should name the expected output.
A machine route can be ready while program, test or acceptance data is missing; the index should expose that disconnect before quotation.
Treat restricted-data omissions as controlled limitations
If access rules restrict a schematic, firmware package, security requirement or test log, it may be absent from the supplier’s working set even though the buyer’s index lists it. Record the approved recipient, purpose, access route, scope and expiry. Do not bypass the restriction through a personal account.
If the response does not require the restricted object for the named scope, mark it out of scope with a reason. If pricing depends on it, hold the affected line or use a bounded alternative approved by the information owner.
Do not assume that inaccessible evidence is complete or compatible. State the limitation and identify which conclusion cannot be reached. Access acknowledgement remains separate from technical approval.
Public quality assurance content can guide record questions. It does not prove project conformity or authorise restricted access.
Classify whether the quote can stand, wait or be revised
reconcile means the error is corrected without changing a priced input and both parties retain the correction. Conditional means a disclosed assumption supports bounded review. Hold means a controlling object or relationship is unresolved. Revise means the corrected baseline changes a quantity, workshare, component, process, programming, test or another priced input.
Do not decide from file count alone. Link the error to the response line and ask the supplier quotation owner whether the commercial result changes. The buyer should identify who accepts the corrected baseline and any remaining condition.
Retain old and new indexes, responses, assumptions and decision dates. A revised price without a linked baseline does not show whether the difference comes from input changes, commercial changes or both.
Trace PCBA Quote File Errors Through Priced Work
Start from the incorrect row and identify every quote line that consumes it. A BOM revision can affect component quantity, alternate status, buyer-supplied material, placement scope and inspection assumptions. A fixture revision can affect interface work, programming, test setup and result records. Record direct dependencies before asking whether the response must change.
identify indirect dependencies. A connector change may alter the mating harness, mechanical fixture, firmware interface or test procedure even when the component price itself is similar. Do not assign an effect without evidence, but keep the dependent line open until its authorised owner reviews the change.
After that, compare the supplier’s assumptions with the buyer’s corrected baseline. If the response explicitly excluded the affected task, the error may not change that line, but the exclusion still needs buyer acknowledgement. If the response silently relied on the old object, ask the supplier quotation owner for disposition rather than calculating commercial impact on the buyer’s behalf.
Assign technical and commercial dispositions
Meanwhile, keep technical and commercial corrections linked but separate. The design owner confirms the active object and relationship. Component, test or manufacturing reviewers identify affected work. The supplier quotation owner determines response impact. The buyer’s commercial owner accepts the corrected comparison baseline.
Recheck Work Completed Under PCBA Quote File Errors
Record whether previously completed work must restart. A component search, DFM review, fixture concept or test-scope estimate may use the erroneous baseline. Preserve the earlier output and label it with the index revision it used. Do not edit its date or content to make it appear based on the correction.
Check External Clarifications Against PCBA Quote File Errors
Check assumptions outside the formal quote. Email clarifications, meeting notes and supplier question logs may contain the same obsolete revision or quantity. Bring the controlling answer into the reconciliation record and identify which external note is superseded. Do not rely on scattered correspondence for the final baseline.
Close the PCBA Quote File Errors Chain
Close the chain only when affected lines have a recorded disposition. Unaffected lines may continue under the original response, conditional lines retain their limits, held lines wait for evidence and changed priced inputs link to a revised response. This prevents one corrected file row from being treated as automatic closure of the whole quote.

Read back the corrected quote baseline
A second authorised reviewer should trace every affected quote line to the corrected index, active objects, configuration, quantity, workshare, firmware, test scope and assumptions. Confirm that superseded rows are excluded from current use.
Then ask the supplier receiving owner to confirm the index revision used and the buyer owner to confirm that it matches the intended request. Record disagreements as open. Do not resume price comparison until the affected baseline is shared.
Check downstream records that used the error. Component estimates, fixture concepts, test plans or schedule inputs may need revision even when the price response changes only slightly. Preserve the original work and link the restart decision.
Confirm correction delivery through the approved channel. The supplier should acknowledge the corrected index revision and identify the response that uses it. The buyer should confirm that the same revision is used for comparison. A shared-folder upload without this readback can reproduce the original silent-replacement error.
Separated slots prevent physical mixing; old and new quotation baselines need the same explicit separation in the file index.
Hand Off PCBA Quote File Errors with the Response
The package should contain buyer and supplier indexes, quote revision, error rows, active and superseded objects, changed quantities or workshare, assumptions, affected lines, authorities, disposition, corrected baseline and restart triggers.
For an initial reconciliation, provide both file indexes, quote revision, assumptions, changed objects, current configuration and quantity, test and firmware scope, restricted-data conditions and decision owner.
Record the comparison date and the next authorised decision.
Keep that record with both baselines.

FAQ
Does every PCBA RFQ file index error require a revised quote?
No. A clerical error may be reconciled when it does not change a priced input. A disclosed assumption may support conditional review. Errors that change quantity, workshare, components, programming, test or another priced input usually require supplier review and may require revision.
Can the newest PCBA file replace an indexed revision automatically?
No. Record the new object, revision, reason, authority, effectivity and affected response lines. Preserve the earlier baseline and decide whether the current quote remains valid, becomes conditional, is held or needs revision.
Is a PCBA quote invalid when restricted data is unavailable?
Only the project reviewers can determine the effect. If the quote line depends on that evidence, hold it or use an approved bounded alternative. If the object is out of scope, retain the reason. Do not infer unseen content.
Who decides whether a file index error distorts the quote?
The technical owners determine which project inputs changed, while the supplier quotation owner determines response impact and the buyer’s authorised owner accepts the corrected baseline. Retain both decisions and the linked index revision.
