PCBA project-fit evidence connects one controlled intake baseline to a defined workshare, criterion-specific proof, authorised reviewers, accepted conditions, and a receiving decision. The closure package should show whether the project enters, enters conditionally, remains held or is declined, and which next gate that state controls.
A meeting conclusion or “fit confirmed” field is not enough. A later reviewer needs to retrieve the assembly and revisions evaluated, quantity stage, sourcing split, firmware and test interfaces, requirements, evidence owners, exceptions, expiry and restart triggers. Closure is a retained decision record, not a broad capability or performance claim.
The evidence should be proportional to the named next step. Opening a fabrication-data review, preparing a bounded quotation, discussing component risk and planning a test fixture need different proof. Passing one criterion does not release another. Set the criteria in the project-fit gate and evaluate failures in the project-fit risk review before assembling the closure package.
Freeze the Baseline for PCBA Project-Fit Evidence
Give the gate a unique identifier, revision and review date. Record product, assembly, PCB and PCBA revisions, variants, effectivity, quantity stage, requested workshare, buyer owner, supplier receiving owner and preserved source archive. If files arrive in several transfers, identify which receipts form the evaluated baseline.
Link each evidence object to that baseline. A current BOM cannot close a gate that was reviewed against an obsolete placement file. A test procedure for another firmware or fixture revision should remain outside the active package until an authorised relationship is established.
State the decision the gate controls. Examples include opening a qualified quotation-input review, entering DFM discussion, reviewing component options, estimating fixture work or closing the supplier path for this project. Avoid “approved project” because it can be mistaken for award or production release.
Preserve the previous baseline when the gate reopens. Record the changed object, old and new identifiers, reason, effectivity and affected decisions. A replaced archive should not erase the evidence used for an earlier review.
Index PCBA Project-Fit Evidence by Criterion
Create an evidence index with criterion ID, controlled object, identifier and revision, source, owner, access location, review scope, reviewer, finding, condition, exception, effective period, receiving owner and status. The index should point to evidence rather than copying restricted content into a broad worksheet.
Separate received, reviewed and accepted states. A supplier can receive a file without reviewing it. An engineer can review an object without authorising a design decision. A buyer can acknowledge a finding without accepting its workshare or commercial effect. Retain the action that actually occurred.
Use direct project evidence where the criterion requires it. Public service pages and standards can frame questions and define terms. They cannot prove that the submitted package, supplier resource, quantity, process, timing or result fits the project.
The project review before quotation page describes a later reader path. Gate closure still requires the project-specific baseline, evidence and authority record.
A board photograph becomes useful evidence only when the record ties it to the reviewed revision, condition and inspection purpose.

Match Workshare in PCBA Project-Fit Evidence
Close each workshare line separately. Common lines include fabrication review, procurement, consigned material, assembly, programming, inspection, functional test, fixture development, documentation and change support. Record required input, expected output, buyer responsibility, supplier responsibility, exception owner and excluded work.
Evidence should show that both parties describe the same line. If the buyer requests test development while the supplier response assumes a buyer-supplied procedure, the workshare is not closed. Preserve the mismatch and the decision needed.
Record interfaces between lines. Buyer firmware may affect supplier programming and test. Consigned material may affect receiving and shortage decisions. A buyer-owned fixture may affect maintenance, modification and return. Closing isolated lines without their interfaces leaves the gate incomplete.
The public PCB assembly services page supplies service context only. The closure matrix must carry the actual project inputs, outputs, responsibilities and exclusions.
Index technical review evidence by domain
For manufacturing data, retain the active fabrication, drill, drawing, stack-up, placement, assembly and mechanical objects and the bounded review performed. A file that opens successfully is not proof that relationships, geometry, net intent or manufacturability are correct.
For components, retain the controlled BOM and AVL, sourcing split, approved-alternate state, restrictions, market evidence when used, reviewer and authority. A candidate alternate should remain separate from the approved BOM until the buyer’s authorised decision is recorded.
For firmware and programming, retain image identity, target device, hardware compatibility, release owner, approved recipient, programming interface and expected verification output. Keep keys and credentials in approved systems; the evidence index should contain only the authorised reference.
For test and fixtures, retain the method, limits, input conditions, interfaces, fixture revision, expected record, failure disposition and receiving owner. Separate programming verification, test-method acceptance and product acceptance.
IPC’s PCBA checklist can help map these technical domains, while IPC DFM resources help frame data-review questions. Neither source proves that a project passes or that a supplier can perform the workshare.
Criterion-specific evidence should identify the process step and controlled setup; a general equipment photo cannot close the criterion by itself.
Close quantity, stage and timing assumptions explicitly
In the evidence index, record the build stage and configuration quantity named by the buyer. Link each sourcing, panel, programming, inspection, test, and documentation assumption to its supporting object and expiry. A prototype result should not be carried into later volumes without review.
Separate a buyer target from a supported commitment. Retain the requested date, input availability, review dependencies, material responsibility, decision dates and authorised response. If current capacity or timing evidence is unavailable, keep the field conditional or held.
Use an expiry for time-sensitive evidence. Material positions, resource availability and project inputs can change while a decision is open. The closure record should state when the evidence must be refreshed and which gate reopens.
Do not use an earlier project result as current proof. It may guide a question, but the closure package needs evidence for the named configuration, quantity stage, workshare and review period.
Retain requirement and access evidence
For workmanship, materials, inspection, coating, cleanliness, traceability, environmental, marking, documentation and regulatory requirements, retain the source, revision, scope, approving role and expected record. Do not infer an application class or legal obligation from a generic term.
For restricted schematics, firmware, security information or test records, retain the information owner, approved recipient, purpose, transfer system, scope and expiry. Access evidence does not establish technical approval. If a required object remains inaccessible, the dependent criterion cannot close.
When a narrower or redacted object is used, record who approved it and why it supports the named decision. Do not claim that an unseen file is complete or compatible. Keep the limitation in the closure record.
The quality assurance page can help frame evidence requests. It does not prove project conformity, applicable certification, inspection results or acceptance.
Control Exceptions in PCBA Project-Fit Evidence
Every conditional criterion needs the base object or requirement, observed gap, assumption, permitted task, prohibited task, owner, evidence due, expiry and decision at expiry. A condition should not drift into a quotation or production record without renewed confirmation.
Retain exception authority separately from technical review. A reviewer can identify a deviation without being allowed to accept it. The closure record should cite the authority source, affected configuration, decision, effectivity and receiving acknowledgement.
Define restart triggers such as changed revision, variant, quantity stage, workshare, sourcing split, firmware, test limit, fixture, requirement, recipient or authority. When a trigger occurs, preserve the earlier state and reopen only the affected criteria, with the dependency judgment recorded.
Lot separation supports containment, but exception expiry and reopen authority still need a retrievable record.
Record authority and receiving sign-off
Assign the reviewer, decision authority, exception authority and receiving owner for each criterion. The gate coordinator maintains the index but should not become universal approver. Record the authority source, scope and effective period.
A supplier specialist can own a review output while the buyer controls the design or requirement decision. Retain both authorship and acceptance. Transmission, attendance or silence does not close the gate.
For joint decisions, state whether either owner may act, both must agree or authority depends on stage, configuration or another boundary. If authority conflicts or delegation expires, keep the criterion held.

Read Back PCBA Project-Fit Evidence Independently
A second authorised reviewer should reconstruct the project identity, workshare, technical inputs, quantities, requirements, access, criterion evidence, exceptions, authorities, state and next gate. Compare the index with source objects rather than a meeting summary.
Sample difficult records: a delegated decision, restricted object, conditional criterion, supplier-generated output and time-sensitive evidence. Confirm that authority was valid at decision time and that the receiver accepted the bounded result.
Check retrieval. Links should open the intended active object through an approved route. Superseded evidence should not appear current. A green tracker cell does not prove that the underlying record persisted.
After readback, a project may move to a bounded component review or another named specialist path. The link does not accept parts, stock, alternates or project release.
Test evidence retrieval against real gate decisions
use retrieval tests that start from a decision rather than from the evidence folder. Select an entered criterion and ask which active object, review scope, reviewer, finding and receiving decision support it. Then select a held criterion and identify the missing object or authority, consequence and release condition. Both paths should be reproducible without relying on the coordinator’s memory.
Verify technical and sourcing evidence chains
trace one fabrication-data decision from the baseline to the specialist output. Confirm that the reviewed Gerber, drill, drawing, stack-up or mechanical objects use the identifiers recorded in the evidence index. If a viewer or conversion was used, confirm that it points to the preserved source. The record should state what the specialist reviewed and what remained outside scope.
Similarly, trace one sourcing decision from the active BOM or AVL to the market evidence, technical review, approval state and quote assumption. A supplier suggestion may exist beside an approved manufacturer part number. The retrieval path should prevent the candidate from appearing to have buyer approval or confirmed availability.
Then trace one programming or test decision through hardware revision, firmware image, fixture interface, method, limits and expected result record. Check that access authority is valid and that protected values remain in the approved system. A review can close the existence of a controlled path without copying credentials into the gate package.
Verify conditions, acceptance and restart paths
Afterward, trace one condition through its origin, permitted work, prohibited work, owner, expiry and action at expiry. Then search downstream records for the same condition. If a quotation worksheet, fixture concept or test plan uses the assumption without its limit, the fit criterion is not closed for handoff even if the gate index looks complete.
Verify receiving acceptance and change impact
Meanwhile, test the receiving decision. The evidence package should show who accepted the supplier output for the named next gate and when. Transmission receipts and meeting attendance can support chronology but do not prove acceptance. If the receiver asked for changes, preserve the response revision that actually closed the criterion.
simulate a baseline change. Replace one object identifier in the dependency map and identify which criteria, outputs and decisions reopen. This test exposes closure packages that save conclusions but not relationships. Record the simulated or actual impact review separately so it cannot be mistaken for a project change.
A successful retrieval test does not prove product performance. It proves that an authorised reviewer can reconstruct the evidence and conditions behind the gate state. Record the sample, reviewer, date, exceptions found and corrective action before declaring the package ready for the next review.
Check storage identity and retrieval access
check naming and storage consistency during retrieval. The evidence index, source repository and receiving record should use the same gate identifier and baseline revision. Working-folder names may be more convenient, but they must not create a second identity that another reviewer could mistake for the controlled state.
After that, verify that evidence remains readable through the approved tools without changing the source. If a format requires conversion, retain the source object and conversion record. A rendered view can support readback, while the closure package should state that parsing or viewing does not prove technical correctness.
resolve retrieval failures before handoff. A broken link, expired permission, missing attachment or ambiguous supersession can prevent a valid decision from being reproduced. Record the failed path, alternate approved location, owner and correction date. Do not leave the gate marked entered when its supporting evidence is no longer available to the receiving reviewer.
An independent reviewer needs the same image context, magnification and acceptance basis to reproduce the readback.
Hand off a closure package another reviewer can retrieve
The package should contain the intake baseline, workshare matrix, evidence index, technical review outputs, requirement and access records, exceptions, quantity and timing assumptions, authorities, receiving decisions, gate state, next gate and restart triggers.
For an initial closure review, provide the gate matrix, open exceptions, active workshare, evidence sources, authority records, expiry rules and receiving owners. Keep missing evidence visible instead of closing it with a meeting note.
Include a short retrieval map that names the approved repository and current gate revision. This lets the next reviewer find supporting objects without exposing restricted content or relying on a private working folder.
Keep that map with the gate.
For a project-specific closure review, send the controlled gate package through the GNS contact page .
FAQ
Does a meeting decision close a PCBA project fit gate?
Only when the controlled record retains the project baseline, criteria, evidence, authority, conditions, receiving decision and next gate. A meeting statement alone is difficult to reproduce and should not replace the evidence package.
Can a PCBA fit gate close with open conditions?
It can enter conditionally when a written assumption supports bounded work. Record permitted and prohibited tasks, owner, evidence due, expiry and action at expiry. Other criteria may remain held.
Does gate evidence prove that a PCBA design will pass DFM?
No. It proves only that the named next review may begin within recorded limits. DFM findings, component approval, quotation, test acceptance and production release remain separate decisions.
When should PCBA project fit gate evidence be refreshed?
Refresh affected criteria when the baseline, variant, quantity stage, workshare, sourcing split, firmware, test interface, fixture, requirement, recipient, authority or time-sensitive evidence changes.
